When you visit our website, the provider of this platform (or its web space provider) collects data about every access to the website. This access data includes

The data will be deleted after a period of 30 days, unless further storage is required for evidence purposes.

We use cookies on our website. Cookies are small (text) files that are created and stored on your end device (e.g. smartphone, notebook, tablet, PC). Google Web Fonts 

We use web fonts provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google"). The service is used for the uniform and correct display of fonts on our website. For this purpose, your browser connects to Google's servers and loads the required web fonts into your browser cache as soon as you access a page on our website. In the process, Google learns that our website has been accessed via your IP address.

Legal basis for the use of Google WebFonts is Art. 6 para. 1 lit. f GDPR (legitimate interest). Our legitimate interest is the uniform and correct presentation of the fonts on our website.

Google Maps 

We use Google Maps (API) from Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google") to display interactive maps and our location. 

Regardless of whether you have a Google account or not or whether you are logged into an account, information about your use of our website (such as your IP address) is transmitted to Google servers in the USA and stored there when you access a subpage of our website on which a Google Maps map is integrated. If you are logged in to Google when you access a sub-page of our website on which a Google Maps map is integrated, your data will be assigned directly to your account. You can prevent Google from assigning your data to your profile by logging out of your Google account before accessing the page. Google stores your data as usage profiles and analyses them. This takes place regardless of whether you are logged in or not.

The legal basis for the processing is Art. 6 para. 1 lit.f GDPR. Google has a legitimate interest in the display of personalised advertising, market research and/or the needs-based design of its website. You have the right to object to the creation of these user profiles. You must exercise your right to object against Google. 

Google LLC, based in the USA, is certified for the US-European data protection agreement "Privacy Shield", which guarantees compliance with the level of data protection applicable in the EU. 

You can deactivate the Google Maps web service by switching off JavaScript in your browser. The map display on our website can then no longer be used. No more data will then be transmitted to Google Maps.

Newsletter 

The provider of this website uses the newsletter to provide information about individual offers.   

If users of this website wish to receive the newsletter, an email address is required. The e-mail address will only be used if the user has expressly consented in accordance with Art. 6 para. 1 sentence 1 lit. a GDPR. This email address is checked to ensure that the user is also the owner/authorised user of the email address. The data is used exclusively for sending the newsletter and is not passed on to third parties. No other data is collected. 

When registering to receive the newsletter, the IP address and the date of registration are stored. The data is stored solely as a safeguard in the event that a third party misuses the address and subscribes to the newsletter without the knowledge of the owner or authorised person. 

Consent to the storage of data and its use can be revoked at any time via a link in the newsletter itself, in the profile area or by sending a message to the above-mentioned contact options or by e-mail to info@hpsmedia-verlag.de.

Contact form 

You have the option of contacting us via various communication channels such as e-mail, telephone, post or via a contact form. If you contact us, we will store your data for the purpose of processing your enquiry. The data will not be passed on to third parties. The processing of personal data is carried out in accordance with Art. 6 para. 1 sentence 1 lit. f GDPR. The legitimate interest here is the processing of your enquiry. If your contact is aimed at the conclusion of a contract, the legal basis is also Art. 6 para. 1 sentence 1 lit. b GDPR. We delete this data as soon as your enquiry has been conclusively clarified and provided there are no statutory retention obligations to the contrary. 

  

Registration function for congress and event 

You can register for the congress via this page. We use the orgamax software from the service provider Deltra for electronic registration. Electronic registration is processed via a Buhl Data Systems web portal. The data entered on the Deltra web portal, such as participant type, title, first name, surname or address data, is transferred directly to Deltra.  Both we and Deltra process the data for registration and organisation of the congress. Processing for other purposes will only take place with your express consent. The legal basis for processing in the case of registration and organisation of the congress is Art. 6 para. 1 lit. b GDPR. The data will be deleted by us 1 year after the end of the event, unless you have consented to processing for other purposes and/or there are no statutory retention obligations.  If the processing is based on your consent, the legal basis is Art. 6 para. 1 lit. a GDPR. You can withdraw your consent at any time. If you have voluntarily consented to other processing, we will delete this data after you withdraw your consent. 

  

2. social media plug-ins 

Social networks 

We use plug-ins from various social networks. A social network is a platform or an app that enables users to communicate with each other, exchange opinions or share content such as images with other users or in the social network itself. Users usually have the option of creating private or business profiles, networking with each other or providing private or company-related information. 

The respective plug-in provider stores the data collected about you as usage profiles. The purpose of the processing is the presentation of (customised) advertising, market research and/or customised design of the website and to inform other users of the social network about your activities on our website. The analysis also takes place when you are not logged into the social network. You have the right to object to the creation of these user profiles. To exercise your right to object, you must contact the respective plug-in provider. The legal basis for the use of the plug-ins is Art. 6 para. 1 sentence 1 lit. f GDPR. The legitimate interest in processing follows from the above-mentioned processing purposes. 

  

Use of YouTube videos 

We embed YouTube videos on our website using the YouTube embedding function. YouTube is a service of Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google"). Google LLC, based in the USA, is certified for the US-European data protection agreement "Privacy Shield", which guarantees compliance with the data protection level applicable in the EU. 

The videos are embedded in extended data protection mode. According to YouTube, user information is only stored when the video(s) starts playing. When the video is started, "YouTube" uses cookies to collect information about user behaviour. According to YouTube, the cookies are used to record video statistics, improve user-friendliness and prevent abusive behaviour. If you click on a video while you are logged into Google, your data will be assigned directly to your Google account. You can prevent this by logging out before activating the button. Google stores your data and analyses it. This happens regardless of whether you are logged in or not. The evaluation is carried out in particular in accordance with Art. 6 para. 1 lit. f GDPR on the basis of Google's legitimate interests in the display of personalised advertising, market research and/or the needs-based design of its website. You can object to the creation of these user profiles. You must address your objection to YouTube. 

Each time this website is accessed, a connection to the Google "DoubleClick" network is established. This happens independently of playback of the embedded videos. This may trigger further data processing operations over which we have no influence.

Use of Vimeo videos 

We embed Vimeo videos on our website using the YouTube embedding function. YouTube is a service of Vimeo, Inc. 555 West 18th Street, New York, New York 10011, USA.  

YouTube tracks all playback sessions to identify errors and check player performance. The legal basis for the processing of the data is Art. 6 para. 1 sentence 1 lit. f) GDPR. YouTube has a legitimate interest in ensuring that the player runs error-free and that the performance of the player is optimised.

AddThis bookmarking as a standard plug-in 

We use social plug-ins ("plug-ins") from AddThis, a service of AddThis LLC, Inc. 8000 Westpark Drive, Suite 625, McLean, VA 2210, USA ("AddThis"), AddThis is operated as part of Oracle Corporation. You can use these plug-ins to set bookmarks and share interesting content with other users. You can interact with social networks and other users. This gives us the opportunity to improve our offering and make it even more interesting for you as a user. 

The AddThis plug-ins set cookies on your end device and transmit various data to the AddThis servers in the USA. This data is stored there. When you access a page on which an AddThis plug-in is integrated, your browser establishes a direct connection to the AddThis servers. The content of the plug-in is transmitted by AddThis directly to your browser and integrated into the page. AddThis collects

We use web tracking and web analysis services. These are services that enable us to analyse the use of our website. We use this data to improve the website and to make our offer more interesting for you. The legal basis for the use of web analysis tools is Art. 6 para. 1 sentence 1 lit. f GDPR. We have a legitimate interest in analysing user behaviour on our website in order to optimise both our offer and our advertising. 

  

Matomo (formerly Piwik) 

This website uses Piwik. Piwik is an open source software for the statistical analysis of user access to websites (piwik.org). Piwik uses so-called "cookies" to analyse user access. This information is stored exclusively on our servers in Germany. 

You can prevent the analysis of this data by deleting existing cookies and preventing the storage of cookies. Preventing the storage of cookies is possible by changing the settings in your browser. If you prevent the use of cookies, your use of the website may be restricted. We use Piwik with the "AnonymiseIP" extension. This means that IP addresses are only processed in abbreviated form. 4. Payment service provider 

Stripe 

Among other things, we offer payment via Stripe. The provider of this payment service is Stripe (Europe) Stripe Payments Europe, Limited (SPEL), 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, D02 H210, Ireland 

If you select payment via Stripe, the payment data you enter will be transmitted to Stripe.

PayPal 

Among other things, we offer payment via PayPal. The provider of this payment service is PayPal (Europe) S.à.r.l. et Cie, S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg (hereinafter referred to as "PayPal"). 

If you select payment via PayPal, the payment data you enter will be transmitted to PayPal. 

The legal basis for the transmission of your data to PayPal is Art. 6 para. 1 lit. a GDPR (consent) and Art. 6 para. 1 lit. b GDPR (processing for the fulfilment of a contract). You have the option to revoke your consent to data processing at any time. A revocation does not affect the effectiveness of data processing operations in the past. 

Instant bank transfer 

We offer payment via "Sofortüberweisung", a payment service of Sofort GmbH, Theresienhöhe 12, 80339 Munich (hereinafter referred to as "Sofort GmbH"). 

When paying by "Sofortüberweisung", a PIN, a valid TAN, the payment data entered and your personal data (such as first and last name, address, telephone number(s), e-mail and IP address and any other data required for payment processing) are transmitted to Sofort GmbH. With the help of PIN and TAN, Sofort GmbH can log into your online banking account and check your account balance. Sofort GmbH then carries out the transfer to us and immediately sends us a confirmation of the payment. Sofort GmbH also automatically checks your turnover, the credit limit of the overdraft facility and the existence of other accounts. 

The transmission of this data is necessary to establish your identity beyond doubt and to prevent attempts at fraud. 

The legal basis for the transmission of your data to Sofort GmbH is Art. 6 para. 1 lit. a GDPR (consent) and Art. 6 para. 1 lit. b GDPR (processing for the fulfilment of a contract). You can revoke your consent to data processing at any time. A revocation does not affect the effectiveness of data processing operations carried out in the past.

Data processing takes place exclusively in data centres in the Federal Republic of Germany and the European Union. 

What data do we process and for what purpose?   

Participation in the digital congress 

Participation in the digital congress is only possible after prior registration via the Deltra registration system. Data processing is carried out in accordance with Art. 6 para. 1 sentence 1 lit. b) GDPR. 

 To log in to the digital congress, create an hpsmedia GmbH account. This will check your registration data and bookings with Deltra. The data for the login account

will be stored on a server of IONOS Online GmbH IONOS SE, Elgendorfer Str. 57, 56410 Montabaur https://www.ionos.de. 

Within the digital congress you have the possibility to fill in your participant profile. This data can be made public as a "business card" to exhibiting companies and sponsors, as well as to other congress participants. The following data can be entered optionally:

As a participant, you have the opportunity to use the following functionalities during the congress:

 In the help desk, participants can ask organisational and technical questions about the congress. The question can be asked anonymously or you can leave the following data

We process all data that you provide to us as part of the enquiry. The legal basis for data processing is Art. 6 para. 1 sentence 1 lit. b) GDPR. We process the data to answer your enquiry and delete it after the enquiry has been dealt with, unless further processing is necessary for other reasons. 

The enquiry in the helpdesk can be made via the following functions

Contact with other participants (chat)  

You have the opportunity to interact with other participants during the congress. You can use the chat tool to 

  •      search for other participants 
  •     display a list of all participants and 
  •     contact other participants via both channels. 

In the same way, you can be searched for, found and contacted by other participants. 

This function is available in the main navigation and via a widget. 

As part of the event, various topic-based chat channels can also be made available by the organiser. You can actively join these channels and then see who else is in this channel and enter into a group chat with the people in the channel or into an individual chat with specific people. 

As part of the chat function, your username (= your email address) is visible to other participants. This is made up of your first name and surname. When you activate video chats, a video image is also transmitted. 

The data will be stored on a server of IONOS SE, Montabauer until 15 September 2025. The legal basis for data processing is: Art. 6 para. 1 sentence 1 lit. b) GDPR. 

Visiting the virtual company stands at the industry exhibition 

You can visit the virtual stands of the industry exhibition during the congress. 

Here you can get in direct contact with the respective exhibitor via chat. You also have the opportunity to view and download information material from the stands or visit external company websites. Your activities will be recorded here and made available to the exhibiting company. 

If you visit the stand of an industry exhibitor during the digital trade fair, we will pass on the following data to the exhibitor after the end of the event: 

  • your name 
  • the address you provided when you registered 
  • e-mail address 

 The legal basis for passing on the data is Art. 6 para. 1 sentence 1 lit. f) GDPR. We have a legitimate interest in passing on your data to the respective exhibitor to enable them to contact you. 

Procedure for scientific sessions 

Scientific sessions may be made available to participants in video streams. During the sessions, they can ask questions about the presentations in real time. These questions will be answered live by the speakers. 

All data contained in this session will be forwarded to YouTube. This is primarily the video images of the speakers and moderators, if they can be seen in this session, and their recorded presentations submitted to the Upload Centre. 

Youtube is a service provided by Youtube Inc (555 West 18th Street New York, New York 10011, USA).  

The sessions will be stored on the YouTube platform until 5 September 2025 and made available to congress participants for retrieval. The legal basis for data processing is: Art. 6 para. 1 sentence 1 lit. b) GDPR. 

Sessions in Zoom webinars 

When using or joining Zoom webinars, your access data will be stored. If you interact with other participants in the auditorium, your video image will also be transmitted, provided you have activated it. 

All data contained in this session will be passed on to Zoom. This is primarily the video images of all participants, if they can be seen in this session, and their recorded presentations submitted in the Upload Centre.

Procedure for industry sessions 

During the congress you have the opportunity to participate in industry sessions. 

Participation takes place via a separate confirmation. Your data will be recorded via this confirmation in order to document which participants have actually taken part in the industry session. We will note your participation on a list and pass it on directly to the organising company. 

We will process the following data:

  • In addition, all the information you have entered in your profile

Presenters, speakers, authors 

Moderators 

If you participate in a session as a moderator, we process the following data

We need this data so that you can log in to your session on Zoom and/or Moodle and moderate the session. 

You will be shown live during the session. Image data will be passed on to the participants. The session will be recorded and stored until 15 March 2021. The legal basis for data processing is Art. 6 para. 1 sentence 1 lit. f) GDPR. 

Speakers 

Talks are presented by the speakers as follows 

Pre-recorded talks (= spoken PowerPoint presentation) 

Speakers who present their talks in advance of the conference can include their own picture of the speaker or a "live video" for recording. 

Live presentation via screen sharing 

With the consent of the speaker, the live presentation will be recorded and made available to the participants afterwards

The presentations will be uploaded to a hpsmedia GmbH server by the speaker or their representative and played in a YouTube stream during the session. During the session, the speaker is logged in to Zoom or Moodle and is available to answer questions from the auditorium live during the session. When answering questions, the speakers are shown via video, provided the speaker has activated the video function. 

During the presentation, participants have the opportunity to address questions to the speakers. Direct interaction with the speaker is not possible. 

Speakers' presentations and the data contained therein will be made available in an on-demand area until 5 September 2025. The legal basis for data processing is Art. 6 para. 1 sentence 1 lit. f) GDPR. We have a legitimate interest in making the sessions available to our participants for review. 

ePoster authors 

ePosters are uploaded to a hpsmedia GmbH server by the author or their representative. During the congress, the posters will be available on the website of the digital congress (including the poster presentation itself). After the congress, the posters will also be available on demand on the website of the digital congress until 5 September 2025. 

During the poster session, the author will present the content of their poster live and answer questions from the audience.   

Note for ePoster presenters 

If you participate in the programme as an ePoster presenter, other participants have the opportunity to write to you via your poster to ask questions. You had to give your consent to this when providing your ePoster (Upload Centre). The following data will be passed on to participants and processed for the purpose of contacting them:
